The Student Records office in collaboration with the departments in the College of Arts & Sciences is here to ensure that degree requirements under your catalog year are met according to NMSU's academic guidelines.
Student Records works with students whose majors, supplemental majors or minors are in the College of Arts & Sciences in order to facilitate proper recording of academic progress towards degree certification. The Student Records office consists of a Student Program Coordinator and Record Specialists, who will:
- Assess and certify undergraduate degrees,
- Evaluate transfer credit for NMSU credit equivalency,
- Review credit for a second language,
- Provide information about your academic standing and progress towards graduation to various campus offices such as to your department, Financial Aid, Veterans' Program, Athletic compliance, etc.
The STAR audit is the principal tool by which degree requirements are confirmed and degrees are certified by Student Records.
Keep in mind that we are not advisors. You will need to meet with your departmental academic advisor before enrolling in classes.

| Request for Change of Major | During the first two weeks of the semester. | Processing of request is 1-2 working days; may take longer if submitted during peak times. Update will be reflected under my.NMSU and on the STAR audit. |
| Degree Check Request for Academic Standing | Submit two semesters before graduating. | REVIEWED BY APPOINTMENT ONLY - for those students who have 30 credit hours or less to graduate. The student will be notified via NMSU email for an appointment and/or sent a summary of academic standing for graduation. |
| Degree Check Request for Cadet | Submit at the beginning of the semester graduating. | Commissioning verification is required from the Commander in Military Science or Aerospace Studies via email to your assigned Record Specialist. Processing of request is 5-7 working days; or longer if submitted during peak times. The student and Commander will be notified via NMSU email if academic standing does not meet degree requirements. |
| Degree Check Request for Financial Aid | Check Financial Aid deadline dates at http://fa.nmsu.edu | Please submit the required Financial Aid document completed to Student Records and an online Degree Check Request for Financial Aid. The Financial Aid document will be faxed or mailed to your Financial Aid advisor. |

Processing of request is 7-10 working days; or longer if submitted during peak times. The degree plan will be mailed or faxed to the Veterans' Program Coordinator. |
| Degree Application for Graduation | Check degree application deadlines at: http://www.nmsu.edu/~registra/degree-app/index.html | The online degree application requires that the major, supplemental major or minor be current on Banner. To update, please submit a Change of Major form on-line. |
| Request for Verification of High School Language | Submit by the second semester of enrollment. | Transfer students are required to provide their high school transcript. If approved, the language requirement will be reflected on the STAR audit. The student will be notified via NMSU email if the request was not approved. |
| Request for Substitution or Waiver | Meet with your advisor and/or department head as soon as possible. | Students meet with their academic advisor or department head to determine if a substitution or waiver is recommended within the major requirements. The completed form is reviewed, approved or disapproved by the department head. The Department Head's signature is required. The form is submitted to your assigned Record Specialist for approval by the Associate Dean for Academics. The student will be notified via NMSU email if the request was not approved. If approved, the change will appear on the STAR audit. |
| Request for Transfer Credit Review | Submit for credit review after all transfer credit has been received and accepted at NMSU or by second semester of enrollment. | Students meet with their department head or academic advisor to recommend reevaluation of transfer credit. Please provide a copy of the original institution transcript and course description or syllabus. Print and complete form for department head review and approval. Department Head signature is required. Form is submitted to your assigned Record Specialist for processing. When approved, the change will appear on the STAR audit. When not approved, the student will be notified via NMSU email. |
| Study Abroad Contracts | Check with Study Abroad office for deadline dates at http://studyabroad.nmsu.edu | The Study Abroad office in Garcia Annex, Room238, issues a contract to all out-bound students. The student hand-delivers completed Study Abroad contract to their assigned Record Specialist for review and for Dean's signature. After returning from the Study Abroad program the transfer credit will be assigned after receiving an official memorandum and transcript from the Study Abroad office. Study Abroad credits when approved will appear under myNMSU and on the STAR audit. |
| VWW Course Taken and Not Showing on STAR | If approved, the VWW course will be reflected on the STAR audit. The student will be notified via NMSU email if the request was not approved. |
