Emeritus Request Procedures
- Emeritus Status - According to NMSU ARP 8.65, faculty members might be eligible to receive Emeritus status upon separation, whether by retirement or resignation, from New Mexico State University. The minimal conditions of eligibility to request Emeritus status are:
- That the faculty member is eligible for retirement under the New Mexico Educational Retirement Act or the Federal Civil Service; and
- That the faculty member is tenured by the university; or is a college faculty who has been promoted (as per College Faculty promotion policies) to the rank of college professor.
- Requesting Emeritus Status - It is the responsibility of the faculty member to request consideration for Emeritus status. The request should be made in writing to the academic department head (or the Dean in case of a request from a department head). The request should include a narrative describing the motivation for the request and expected future contributions to the institution.
- Review and Approval - The departmental recommendation for Emeritus status should be developed as follows:
- The request should be reviewed by the P&T committee in the department; in the case of a request from a College-track faculty, the committee should also include at least one College-track faculty at the rank of Professor (appointed by the Dean if no suitable candidates are available within the Department).
- The committee should review the request and provide a recommendation to the Department Head, inclusive of a vote count.
- The Department Head develops their own recommendation and the two recommendations are sent to the Dean for review along with the complete request portfolio.
- The final recommendation is communicated by the Dean to the Provost and to the Benefits Services office

NMSU Equipment Loan for Home Use
NMSU equipment should not be removed from the NMSU campus until you have approval to do so.
- Univeristy Equipment Loan Form – This form should be use to obtain approval for loan of NMSU tagged or non-tagged Property or to renew the loan of NMSU Property. Any faculty or staff member or student requesting a loan of property must fill out Sections 1 – 3 of the Equipment Loan Form then route for proper approval.
- Adobe Sign Form – This link will provide the access to the new Adobe Sign method. Here are step by step instructions for submitting a new workflow for the equipment property form.
- Per Business Procedure Manual (BPM) 4A.10 Physical Inventory,each department is accountable for and must take a physical inventory of all tagged property, regardless of ownership, at the close of the fiscal year or as otherwise directed, with the Department Head acknowledging responsibility for the equipment.
- Per BPM 4A.35.2 Off-Campus Loan of University Property, loan of NMSU property to a faculty or staff member or a student for off-campus use in a university program must have prior approval from the Principal Investigator (PI) and/or the Department Head of the responsible department. The lending department will maintain documentation of custody for the duration of the loan. Locations of off-campus property must be reported to Central Property. Condition of the item and date of expected return will be noted in the documentation.
Reminder – during the annual inventory process, tagged property will need to be scanned, including property on loan if it is locally available.

- April 3, 2023 - Deadline for faculty members to submit to the Department Head a form requesting consideration for early tenure
- April 21, 2023 - Deadline for submitting signed form (P&T Chair and Department Head) for early tenure to the Dean’s Office
- April 21, 2023 - Deadline for submitting in Dropbox tenure progress reports for all untenured tenure-track faculty members
- May 10, 2023 - Deadline for completing your assigned page of the spreadsheet describing P&T committee composition and identification of candidates for tenure and/or promotion for the 2023/24 academic year
